Muster
Used by HR teams across Europe

Your knowledge base answers HR questions. Automatically.

Muster reads your policy documents and replies to employee questions automatically. Every answer is grounded in your current SharePoint files, so the same question gets the same answer no matter who’s covering the inbox.

The problem

HR inboxes get buried in questions that policy docs already answer

The same questions land every week, get answered by hand, and get answered slightly differently each time. That's hours of HR time the team doesn't have.

Volume
Inbox overload

Benefits, PTO, parental leave, expense rules. The same questions recur weekly and drain HR hours that should go elsewhere.

Variance
Inconsistent answers

Different staff reply differently to the same question. Employees compare notes, lose trust, and escalate to managers who shouldn't be in the thread.

Drift
Stale knowledge

Policy documents get updated; the email replies don't. Last year's rule keeps going out, and the correction costs more than the original mistake.

Comparison

The alternatives don't solve it

Most HR teams weigh four options. Three break down fast.

OptionThe problem with it
Hire more HR staff€3,500+/month per person. Still inconsistent. Doesn't scale with volume. Subject to turnover.
Generic chatbotNot grounded in your actual policy documents. Hallucination risk. No audit trail. Employees lose trust in it fast.
DIY with ChatGPTNo compliance logging. No M365 integration. No review workflow. Maintenance burden falls on IT. Not built for this use case.
MusterGrounded in your policy documents. Full audit trail. M365-native. 1-day setup. From €199/month, less than one day of HR staff cost.

Why autonomous replies work

With the right knowledge base, AI outperforms human replies

Human answers depend on memory, habit, and who happens to be in the office. The AI reads the policy document fresh on every reply.

More accurate than recall-from-memory

Every answer is pulled from the current version of your policy document, not from memory or last quarter's email thread.

Consistent across every reply

The same question gets the same answer, whether it's asked Monday morning or Friday afternoon. No interpretation drift between staff.

Answered in under 60 seconds

Questions are handled before they reach the HR team's to-do list. Employees get an answer with the policy source cited, so they can check it themselves.

Want a confidence check during rollout? Enable review mode and approve drafts by email reply or in the dashboard. Most teams switch to full autonomy within 2 to 4 weeks.

How it works

Live in under a day. No new tooling required.

Muster runs inside your existing Microsoft environment. Three steps and it’s processing questions.

  1. 1
    Connect your shared Outlook inbox

Authorise Muster via M365 app registration. No shared passwords, no email forwarding, direct Microsoft Graph API. Takes about 20 minutes.

  2. 2
    Load your policy documents

Upload PDFs or Word files, or link a SharePoint library. Muster indexes them and re-indexes whenever the source changes.

  3. 3
    Go live

The moment setup is complete, incoming questions are classified, matched to policy, and answered. Most teams are live in one day. Getting the knowledge base production-ready usually takes 1 to 2 weeks more, depending on how current your policy documents already are.

A note on policy quality

Your policies need to be clear and current. As part of onboarding we audit your existing documents and flag ambiguous or outdated passages before go-live. If a policy is unclear, Muster holds the email for human review rather than guessing.

Knowledge base

Your policies, kept current

Muster reads directly from SharePoint, OneDrive, or uploaded files. When you update a policy, the knowledge base re-indexes itself, so answers stay accurate without manual intervention.

PDF & Word documents

Upload policy files directly. Muster chunks and embeds them, tracking versions so replies cite the current one.

Up-to-date by default

When you update a policy document, Muster re-indexes. A reply drafted the day after an update cites the new version, not last quarter's.

Source citations in every reply

Every reply cites the document and section it drew from. Employees (and auditors) can verify it themselves.

Integrations

Fits your existing Microsoft stack

No new inboxes. No separate portals. Muster plugs into the tools your HR team already uses every day.

Outlook (shared mailboxes)Microsoft TeamsSharePointOneDriveAzure AD / Entra IDExcel & WordWebhook notificationsAudit export (CSV)
For compliance & legal

What your compliance team will ask for

Before any HR leader signs off, legal or compliance will ask: can we see what was sent and why? Per email, with citations.

Full record of every reply sent

Every email answered is logged: the question, the matched passage, the reply, and the approver where review mode is on. Exportable as CSV for GDPR subject access and HR audits.

Separate logins for each role. No shared passwords.

Reviewers, admins, and read-only auditors each have their own access level. SSO via Entra ID. No single shared credential that can go walkabout.

Your data stays in your region

Choose EU or US processing. Document embeddings stay in the region you pick. The AI provider gets retrieval queries, not raw policy text.

You decide when a policy update takes effect

When you change a document, you control when Muster starts using the new version. The previous version stays on record, so historical replies trace back to the policy that was live at the time.

Low-confidence questions go to a human queue

If Muster isn't certain enough to answer, it holds the email and pings your team. Typical handling: same-day batch review. It does not guess.

GDPR, ePrivacy, and DPA ready

Muster is GDPR and ePrivacy compliant. A Data Processing Agreement and standard contract terms are available to sign before go-live, which most European enterprise procurement teams require.

FAQ

Common questions

Is Muster really fully autonomous? Will it send emails without a reviewer?

Yes. In autonomous mode (the default), Muster sends replies from your shared inbox automatically. The AI reads the question, retrieves the relevant policy passage, drafts a reply, and sends it. You review the audit log on your own schedule. If you want oversight during an initial period, switch to review mode until you're comfortable, then flip back.

How do reviewers approve in review mode?

Two ways. In the Muster web app (Dashboard › Pending), or by replying to the approval email Muster sends to the reviewer. The email contains the draft, the source policy excerpt, and approve/reject links, so no login is required. Either method records the reviewer in the audit log.

What happens when Muster can't find a matching policy?

If retrieval confidence falls below your configured threshold, Muster does not send (in either mode). It flags the email for human handling and notifies the inbox owner. The system holds rather than guesses.

Is employee data used to train the AI models?

No. Muster uses self-hosted language models, so inputs and outputs never leave the boundary you control and are not used for model training. Your policy documents stay in your M365 tenant and are processed in the data residency region you pick.

Can I use Muster without SharePoint?

Yes. You can upload PDF and Word documents directly to the Muster knowledge base, or link OneDrive folders. SharePoint auto-sync is a convenience feature, not a requirement.

How long does it take to set up?

The technical setup takes one day. M365 app registration is about 20 minutes; indexing your first policy documents another 10 to 30. The longer task is getting the knowledge base production-ready, making sure policies are current, clear, and complete, which usually adds 1 to 2 weeks. We help with that audit as part of onboarding.

How long before we can switch to fully autonomous mode?

Most teams run in review mode for 2 to 4 weeks, long enough to see a representative sample of questions and verify the replies. Some go autonomous on day one once they trust the knowledge base. Switching is a per-inbox toggle, no re-setup.

Do you help with setup and onboarding?

Yes. Full onboarding, policy audit, and knowledge base preparation are included in every plan. We review your existing documents with you, flag ambiguous or outdated passages, and make sure the knowledge base is accurate before go-live.

What's the timeline from signing to first autonomous reply?

Technical setup takes one day. M365 app registration is about 20 minutes. Preparing the knowledge base (auditing and uploading your policy documents) usually takes 1 to 2 weeks depending on how current your documents already are. Most teams send their first autonomous reply in week 2 or 3 after signing.
